Billing & Payments

Understand your invoices, track AI credit usage, manage payment methods, and learn how usage-based charges appear on your bill.

Current Billing Period

At the top of your billing page, you'll see a summary of your current billing period, including:

  • Projected next billing amount — An estimate of what you'll owe on your renewal date. Note that usage accrued during the cycle can also be charged mid-cycle once it crosses a threshold (see Usage Threshold Charges below), so it may not all wait for renewal
  • Current billing period dates — The start and end of your current cycle
  • Next billing date — When your next invoice will be generated

Line Item Breakdown

Your bill is broken down into individual charges:

If you have credits (e.g., from a top-up, downgrade, or overpayment), they're held in your organization's prepaid balance and shown on your billing summary. Credits are spent automatically on AI (Vex) usage — they are not applied to your subscription invoice — and they never expire.

Usage Threshold Charges

Usage charges (AI credits, voice minutes, and newsletter emails) are normally settled on your renewal date together with your plan fee. However, to keep balances from building up too far, Yaplet also charges for usage mid-cycle: as soon as your accrued usage crosses a set threshold (roughly half your monthly plan price), an interim invoice for that usage is issued and charged to your default payment method. This can repeat multiple times in a cycle if usage keeps accruing.

Mid-cycle usage charges do not change your renewal date or your plan — they only settle usage you've already run up. Your plan fee is still billed on its normal schedule.

Invoices

The Invoices section shows a searchable, sortable table of all your past invoices.

Each invoice includes:

  • Transaction ID
  • Amount charged
  • Invoice number
  • Date created
  • PDF download link (when available)

You can search by transaction ID or invoice number, and sort by amount or date.

AI Credit Usage

The AI usage by model table gives you a detailed breakdown of your AI consumption, pre-filtered to your current subscription period.

What You'll See

  • Usage broken down by AI model (e.g., GPT-4, Claude, etc.)
  • Yaplet credits consumed per model
  • Cost in USD per model
  • Total credits and total cost across all models
AI answers are priced on the AI tokens each answer consumes, so the cost varies by model — roughly $0.002 per answer (~2 credits) on average. Paid plans get a lower per-answer rate than the free plan's pay-as-you-go rate, so your credits go further.

Filtering Usage

You can filter your credit usage by date range using the date picker. This lets you see usage for any period up to 93 days.

The same breakdown is available on the AI & usage tab of the Reports page, where you can pick any date range independent of your billing period.

Payment Methods

Adding a Payment Method

When you first subscribe, you'll be prompted to add a credit card through a secure Stripe form. Your card details are:

  • Encrypted and stored by Stripe — Yaplet never sees your full card number
  • Protected by 3D Secure when required by your bank

Viewing Your Payment Methods

On the billing page, you can see all your stored payment methods with:

  • Card brand (Visa, Mastercard, etc.)
  • Last 4 digits
  • Expiration date
  • Which card is set as default

Managing Payment Methods

Click Manage Subscription to open the Stripe Customer Portal, where you can:

  • Add a new payment method
  • Remove an old card
  • Change your default payment method
The Stripe Customer Portal is a secure, external page managed by Stripe. Any changes you make there are reflected immediately in Yaplet.

Handling Payment Issues

Past Due Payments

If a payment fails (e.g., expired card, insufficient funds), your subscription status changes to Past Due. You'll see a prominent alert on your billing page with a button to resolve it.

Resolve past due payments promptly to avoid interruption to your service. Your access to paid features may be limited while the payment is outstanding.

Grace Period and Suspension

When a payment fails, your subscription enters a grace period of about one week. During this time you keep full access to all paid features while Stripe automatically retries the charge and we send reminder emails. If the payment still can't be collected by the end of the grace period, your subscription is suspended and your organization drops to the free Basic tier:

  • Paid features pause — AI answers beyond the free 100/month (and pay-as-you-go answers once your credit balance runs out), voice, and marketing emails stop
  • Usage-based billing stops accruing new charges
  • Nothing is deleted — your widgets, conversations, knowledge bases, and all configuration are retained, and any phone numbers on your account are preserved

A banner appears in your dashboard and the organization owner receives an email when this happens. As soon as you pay the open invoice, your previous plan and all paid features are restored automatically — no reconfiguration needed.

3D Secure Verification

Some banks require additional verification (3D Secure) when processing payments. If this happens:

  1. Your subscription shows as Incomplete
  2. A prompt appears on your billing page to complete verification
  3. Click the action button — you'll be redirected to complete the verification in your browser
  4. Once verified, your subscription activates immediately

Account Balance & Top-ups

Your account balance is a prepaid wallet of credits that Yaplet spends automatically on AI (Vex) usage. Credits never expire. (Top-up and balance management is available to the organization owner.) The balance card on the billing page shows your current balance, a Top up button, and a list of recent top-up transactions.

Where Credits Come From

Credits can appear on your account from:

  • Top-ups — Manually adding funds via the Top up button on the billing page or from the user dropdown menu
  • Downgrading your plan mid-cycle (unused time is credited)
  • Switching from annual to monthly billing (leftover balance from the annual plan)
  • Overpayments that were refunded as credit

Topping Up Your Balance

Open the top-up modal

Click the Top up button on the balance card (billing page) or in the user dropdown menu at the bottom of the sidebar.

Choose an amount

Select one of the quick-select amounts or enter a custom amount. The input shows the formatted currency for your organization (USD or HUF).

Complete payment

Click Continue to Payment to be redirected to Stripe's secure checkout. All major credit and debit cards are accepted, and Apple Pay / Google Pay are available where supported by your device.

Balance is updated

After payment, you'll be redirected back to the billing page with a confirmation. Your balance updates within a few seconds.

How Credits Are Applied

Credits are displayed on your billing summary with:

  • Starting balance — Your credit at the start of the billing period
  • Ending balance — What remains after AI usage has been deducted
Credits are spent on AI usage as you go, not applied to your subscription invoice. On the free plan you get 100 free AI answers per month; after that, Vex keeps answering pay-as-you-go from your credit balance, and hands off to a human if you have no credits left. We'll send a low-balance email and in-app alert before your credits run out.
