Issues and approval

Follow every issue an autopilot writes, approve or regenerate its drafts, and see what happens when nobody approves, when an issue fails, or when you switch an autopilot off.

Issue History

The Issue history card at the bottom of an autopilot's page lists every issue it has planned, written or sent, newest first.

  • Totals across every issue that went out: Issues sent, E-mails sent, Open rate and Click rate.
  • Each row shows the planned date (or Sample), the status, the subject (click it to open the campaign), the idea · format · length · images, and a timeline: "Created · Approved · Sent · Finished". Sent issues also show Sent, Opened, Clicked and Bounced.
  • Actions appear on the row while they apply: Approve & send, Regenerate and Cancel.
  • The newest eight rows are shown; Show all opens the rest.

Approving a Draft

When a draft is ready, everyone with Newsletter → Campaigns access gets a notification and an e-mail. Open the draft from there, from the autopilot page, or from the Draft list on the Campaigns page. In the campaign editor a bar reads "Written by Autopilot name · planned for date", with Approve & send, Regenerate and Open autopilot.

  • Approved before the planned time, the issue goes out at the planned time.
  • Approved after it, the issue goes out right away — the bar then says "was planned for date — approving sends it right away".
  • The draft is an ordinary campaign. Edit anything before you approve. If someone schedules it the normal way, cancels it or deletes it, the issue history follows.

The bar appears only on drafts waiting for approval, never on samples. Approving needs both Newsletter Autopilot and Newsletter → Campaigns access.

If Nobody Approves

  • One reminder. Once the planned time passes, a single reminder goes out (notification and e-mail). The draft keeps waiting, and approving it later sends it right away.
  • Weekly, Every 2 weeks, Monthly: a send date that comes up while a draft is still waiting is skipped, not queued behind it. You never pile up more than one waiting draft.
  • After the previous one: the next issue isn't planned until the current one has been sent or cancelled, so a waiting draft pauses the chain.
  • Missed issues: if an issue still hasn't been written 6 hours after its planned send time — for example after an outage — it is skipped as missed instead of going out late.

Regenerate

Regenerate cancels the current draft (or the failed issue) and writes a new issue for the same send time. If that time is more than 6 hours in the past, the new issue is planned for now instead. The new draft appears on the autopilot page in a minute or two.

Each Regenerate writes, and bills, a complete new issue. It needs both Newsletter Autopilot and Newsletter → Campaigns access.

Cancel

Cancel drops a planned issue or a draft waiting for approval, and cancels its draft campaign too. An issue that is already Scheduled is cancelled on the Campaigns page, like any other campaign. With After the previous one, the chain carries on: the next issue is planned the set number of days after the cancel.

Sending Without Approval

With Require my approval off, each issue is scheduled as soon as it is written and goes out at its send time without anyone reading it first. Turning an autopilot on in this mode asks you to confirm.

Every automatic launch goes through the same content check as a campaign you send yourself. If the launch fails — for example the check blocks it, or, without a subscription, your balance doesn't cover every recipient — the issue is kept as a draft waiting for approval with the note "Not launched automatically: reason". People with Newsletter → Campaigns access are alerted, and you can fix the draft and approve it from the editor.

Turning an Autopilot Off

Switching Off asks for confirmation. Then:

  • Issues that are planned, being written or waiting for approval are cancelled, together with their drafts.
  • Campaigns that are already scheduled still go out. Cancel them on the Campaigns page if you don't want them sent.
  • Nothing is written until you switch it on again.

Deleting an Autopilot

Delete autopilot is at the bottom of its page. The campaigns it wrote are kept — only a draft still waiting for approval is cancelled — but they lose their Autopilot badge. Its source ticks are removed. Deleting can't be undone.

Autopilot Campaigns on the Campaigns Page

Campaigns written by an autopilot carry an Autopilot badge in the Draft, Ongoing, Finished and Cancelled lists. They are named "autopilot name · planned date" (the date in the autopilot's timezone, like 2026-10-06), or "autopilot name · sample" for a sample.

When an Issue Fails

A failed issue shows its reason in the issue history and in the The last issue could not be written alert on the autopilot page, which offers Write it again. The half-written campaign is removed. People with Newsletter → Campaigns access are alerted (not for samples).

Notifications

Autopilot notifications go to every member with Newsletter → Campaigns access — owners always included. Having Newsletter Autopilot access alone does not bring any.

Repeats are held back so a broken autopilot doesn't flood you: failure, reminder and skip alerts come at most once a day per autopilot, and the "waiting for approval" alert at most once an hour.
