Email domains
Manage your organization's email domains to send newsletters and automated emails from your own branded addresses.
What Are Email Domains?
Email domains allow you to send emails from your own domain (like [email protected]) instead of generic addresses. This builds trust with recipients and improves deliverability. Each domain you add goes through verification and can have multiple email addresses associated with it.
Adding a Domain
To add a new domain:
- Enter your domain name (e.g.,
yourcompany.com) - Toggle the Need warmup setting (explained below)
- Click Add to create the domain
DNS Configuration and Verification
After adding a domain, you'll see a DNS records table with the required entries. Add these records to your DNS provider's settings.
Common DNS Providers
Go to your domain's DNS settings, click Add record, and enter the values shown in the table.
Access your domain settings → DNS → Add a new record with the type, name, and value from the table.
Navigate to Domain List → Manage → Advanced DNS, then add the records shown in your dashboard.
Most providers have a DNS management section where you can add records. Look for options like "DNS", "Zone Editor", or "DNS Records".
Once added, click Check verification to confirm the records are correct. The domain status will show as "Verified" when complete.
Adding Emails to Domains
After verification, you can add email addresses for the domain:
- Click Add email in the domain's emails table
- Enter the email prefix (e.g.,
newslettersfor[email protected]) - Select which widget this email will be used for
- Click Add
Emails are linked to specific widgets and can be used for sending emails from that widget (like transcripts, or emails when the visitor is offline).
Email Warmup System
Email warmup is crucial for maintaining good deliverability. Email providers (ISPs) monitor sending patterns and may mark emails as spam if you suddenly send large volumes from a new domain.
How Warmup Works
The warmup system gradually increases your daily sending limit based on recent activity. It calculates limits using the last 7 days of sending data from the domain:
- Active domains: If you regularly send emails, limits increase automatically
- Inactive periods: If sending drops off, limits decrease to prevent spam flags
- Fresh domains: Start with conservative limits and build up gradually

Disabling Warmup
You can disable warmup if you use external warmup services. When disabled:
- Emails send as fast as possible (subject to Amazon SES limits)
- No sending rate restrictions
- You're responsible for maintaining domain reputation
Managing Sending Limits
The system automatically calculates daily limits, but you can manually override them:
- Manual Sending Rate Override: Set a custom daily limit for today (resets at midnight UTC)
- Max Limit Cap: Maximum emails allowed per day
- Min Limit: Minimum limit during cooldown periods
- Change Factor: Daily percentage increase/decrease (0.2-20%)
Limits recalculate automatically at midnight UTC based on the previous 7 days' activity. Manual overrides only affect the current day.
