Yaplet Speaks First

How Yaplet, the assistant inside your dashboard, can start talking on its own with a greeting, page introductions, notes and messages in your chat list, and how to keep it quiet.

Availability: Yaplet speaking first is switched on by the Yaplet speaks first permission. Owners have it automatically, and any other member gets it when the owner ticks it for them. Without it, Yaplet only answers when you open it.

Overview

Yaplet is the assistant inside your dashboard. Normally it waits until you ask. When you hold Yaplet speaks first, Yaplet can also start things itself, in four ways:

  • On the page — a speech bubble above the Yaplet blob in the bottom-right corner (a greeting, or a short introduction to a page you open for the first time), a card in an empty list that offers to create the first item, or a line on the Playground that offers to help you install your widget.
  • In your chat list — a message Yaplet writes first, such as a failed payment or a paused sending domain.
  • While you were away — one catch-up chat when you come back after a while.
  • A one-week check-in — one question, asked once, about whether Yaplet is useful to you.

Everything Yaplet says on its own is written in advance. It uses no AI and costs no credits. Messages in your chat list come on top of the bell and the emails you already get, which do not change.

You stay in control. Every bubble has Not now, and the Yaplet tips switch turns the on-page bubbles down or off. The message topics can be switched off one by one in your Settings. Both are explained below.

Who Gets It

A member needs both Yaplet assistant (the permission that gives you Yaplet itself) and Yaplet speaks first. It appears as a row under Yaplet assistant in the member's permissions. Its description reads: Yaplet speaks up first: introductions, tips and the messages it writes. Owners have it automatically.

On the Page

The "Meet Yaplet" Greeting

The first time you open the dashboard with Yaplet speaks first, Yaplet says hello in a speech bubble above its blob: Hi, I'm Yaplet, your assistant. It says it can explain any page and take care of many tasks for you, and tells you how to open it any time: from the Ask Yaplet card at the top of the sidebar, or with Ctrl K (⌘K on a Mac). You see it once per person and workspace.

The bubble has two buttons, a ⋯ menu and a close button (×):

  • Show me opens the side panel with This is Campaigns. Here's what I can do for you here — or ask me anything about it. (with the name of the page you are on) and up to four buttons for things Yaplet can do on that page and you are allowed to do. This uses no AI.
  • Not now puts the greeting off. The rules for this are under Keeping Yaplet Quiet, below.

Yaplet waits for a calm moment: a few seconds after the page has settled and you have paused typing and clicking. It never appears over a dialog, a side sheet or the search window. If the blob is not on screen — the side panel is open, or Yaplet's support chat is open — the greeting waits for a later page. If you minimized the blob, the greeting becomes a note instead.

Page Introductions

The first time you open a page from the sidebar, Yaplet offers a short introduction: First time on Campaigns? I can show you what I can do for you here. Show me works as above. A page and its sub-pages share one introduction, so you see it once per page and person.

Only one bubble appears per page visit, and introductions come first. Anything else waits as a note. Don't tell me about this on an introduction silences that page's introduction only.

Notes and the Red Number

Whatever could not appear as a bubble is kept as a note. This happens, for example, when you minimized the blob, a Yaplet message is showing in the bubble, you are typing, a dialog is open, you left the page before the bubble showed, you ignored a bubble twice, or you used Not now on it three times.

Notes show up in three places:

  • A red number on the blob in the corner counts notes you have not seen plus unread Yaplet chats (it shows 9+ above nine). The Ask Yaplet card in the sidebar shows the same red number on its blob. When the sidebar is collapsed to its icon rail, the card shows a small red dot for unseen notes and the count of unread chats.
  • Yaplet's notes · N in the search window (Ctrl K), and in the Needs you now box on Yaplet's home, in the side panel and in full-screen Yaplet (Waiting for you on the simpler start screen). Introductions are grouped into one row, Intros waiting:, followed by the page names.
  • Opening the side panel, the agent view or the search window marks the notes as seen.

With the Yaplet tips switch on Off, notes are hidden altogether.

The Empty-Table Offer

In an empty list on Documentation pages, Knowledge base articles and Marketing → Engagement → News & Releases, a card appears under the usual buttons: Nothing here yet. I'm happy to create the first one for you. Its button reads Generate a docs page, Draft an article or Write a news release.

The button opens a small box where you type what the page, article or release should cover. Press Enter to send it to Yaplet, which takes it from there like any other request. Using the offer marks it as done. The × works like Not now. The card is hidden when Yaplet tips are on Fewer or Off.

The Install Offer on the Playground

After the first answer in the test chat on a brand's Playground, a line appears under the page title: Now that you've tried your AI agent, let's put it on your website. It is for owners whose workspace has a brand with a website and no live widget yet. It also shows when you come back to the page later, and it stops once your widget has had its first real visitor.

Walk me through it opens the side panel with the Add to your website card: answer Where does your website run? and copy the code. This is a normal Yaplet request, so unlike the line itself, it uses AI. Using the offer marks it as done. The × works like Not now. The line is hidden when Yaplet tips are on Fewer or Off.

Keeping Yaplet Quiet

Not Now, Ignoring and "Don't Tell Me About This"

Every bubble has a close button (×) and Not now, which do the same thing, and a ⋯ menu with Don't tell me about this, Fewer tips and Turn tips off. A bubble that has nothing to offer shows Got it instead.

What you doWhat happens
Not now (or ×)That topic is quiet for 3 days. The second time, for a week; the third time, for 3 weeks, and from then on it only appears as a note.
Ignore the bubbleA bubble nobody clicks for 30 seconds (hovering pauses the clock), or that you leave by changing page or opening Yaplet, counts as ignored. The topic is quiet for a day, and after the second time it only appears as a note.
Don't tell me about thisYaplet never brings that topic up again.
Fewer tips / Turn tips offSets the Yaplet tips switch, see below.

The Yaplet Tips Switch

The ⋯ menu in the header of the Yaplet side panel, the agent view and full-screen Yaplet has a Yaplet tips group with three choices:

ChoiceWhat it does
OnYaplet may speak up on dashboard pages.
Fewer (urgent only)Only urgent tips get through. Yaplet has none at the moment, so for now this behaves like Off.
OffYaplet starts nothing on the page and hides its notes.

The choice is saved per person and workspace. It affects only the on-page bubbles and notes. It does not affect the messages Yaplet writes into your chat list (billing, sending, autopilot, product feeds, website knowledge, While you were away). Those, except the While you were away chat, which cannot be switched off, are controlled by the topic switches in your Settings, described under The Yaplet Card in Settings, below.

Yaplet Messages

How a Message Arrives

When something happens that you should know about, Yaplet writes first:

  1. A new unread chat appears in your Yaplet chat list, with a bold title and an orange blob. The list is in the side panel and on the left of the agent view.
  2. A bubble in the corner shows the text, with and N more if several are waiting, plus the buttons Open the chat and Not now.
  3. The red number on the blob goes up.
  4. In the chat, the message is a card: a topic chip such as Billing, the time (Just now, Today 08:12), the text, buttons and thumbs. In the agent view, the chat header says Yaplet wrote first.

Opening the chat marks it as read. Not now only hides the bubble; the chat stays unread and still counts in the red number.

Yaplet checks again right before it shows a message. If it is out of date (a payment was fixed in the meantime, for example), you muted its topic, or it has expired, it is quietly dropped. A message expires after a few days to two weeks, depending on its kind. The same event never produces a second message within 24 hours. Messages appear as soon as they are written, as long as your dashboard is open in a visible tab (a stopped product feed is the exception, see the table below). Suspended workspaces and members get none. Members whose access is limited to some brands only hear about those brands.

Buttons on a Message

  • Question buttons have an orange outline. Clicking one sends the button's words as your message to Yaplet, for example What happens next?, Try again now, Show me the draft or Which campaigns caused it?. They are ordinary Yaplet messages and are disabled while Yaplet is answering. Try again now runs a change, so a Confirm card appears before anything happens. A stopped product feed is never retried automatically.
  • Page buttons take you to a dashboard page, such as Open billing, Open email settings or Open the draft. A page button that comes first on the card is solid.

Every Yaplet message also has a thumbs up and thumbs down. A thumbs down opens a box, What was wrong? (optional), with Send and Skip. Your thumbs and note go to the Yaplet team together with your workspace's name, never the chat.

Who Receives Which Messages

Each message belongs to a topic. A topic reaches only members who hold Yaplet speaks first, Yaplet assistant and the topic's own permission, and who have not switched it off.

All Message Kinds

Yaplet keeps related messages together. Billing messages go into one pinned chat called Billing, sending messages into one chat per domain (for example Sending: example.com), and autopilot messages into one chat per autopilot (for example Autopilot: Weekly digest). Chats like these are always pinned and cannot be unpinned; you can rename or delete them, and if you delete one, the next message of that kind starts a new chat.

While You Were Away

When you open the dashboard after at least eight hours away from this workspace and something needs you, Yaplet starts one chat, While you were away. It opens with Here's what happened since your last visit: followed by lines that each have a button:

  • A line such as 3 chats are waiting for a reply, with Show the waiting chats. This counts every unassigned chat waiting for a reply, however old.
  • A line such as 5 new chats with visitors, with Open the inbox.
  • A line such as 2 campaigns sent, with Open campaigns. Scheduled campaigns do not count, only sent ones.
  • Any waiting Yaplet message that was not urgent, such as a stopped product feed, with its first button.

Yaplet only writes this chat when something needs you: a waiting Yaplet message, or a chat that started waiting for a reply, or got a new message while waiting, since your last visit. New chats and sent campaigns alone never trigger it, but they are listed when it is written. The lines about chats need the Inbox permission, and the line about campaigns needs Newsletter → Campaigns. The chat cannot be switched off.

The One-Week Check-In

Once Yaplet has known you for a week, it asks, in a pinned chat called One week with Yaplet: We've been working together for a week now. Am I useful to you so far? A thumbs up or down below helps — and if something is off, tell me what. It has no buttons, only thumbs and an optional note. You get it once per person and workspace, and it cannot be switched off.

The Yaplet Card in Settings

Open your user menu and choose Settings. If you hold Yaplet assistant, the settings window has a Yaplet card with two parts:

  • First screen — Yaplet or Dashboard. Yaplet opens the full-page Yaplet when you sign in. Dashboard starts on the Overview, with Yaplet open beside it on a wide screen. If you have never chosen, Dashboard is used.
  • Messages from Yaplet — shown to members who also hold Yaplet speaks first. A fold that shows how many topics are on, for example 3 of 5 on. Each topic has a switch: Billing, Email sending, Newsletter autopilot, Product feeds and Website knowledge. You only see the topics your access covers. A change saves at once, per person and workspace.

A message of a topic you switched off is dropped, not held back, and switching the topic on again does not bring old messages back. Your switches stay as they are if your access changes later.

Where You Land After Signing In

After you sign in, Yaplet takes you to the first of these that applies:

  1. The page you were heading to, if you followed a link or were sent to sign in.
  2. The welcome flow, for an owner's very first session in a new workspace. It ends on the brand's Playground.
  3. The Yaplet agent view, if you hold Yaplet assistant and your First screen setting is Yaplet.
  4. Otherwise Overview, or the All inbox if you do not have the Overview permission. On a screen 1,024 px wide or more, Yaplet's side panel opens beside it if you hold Yaplet assistant.

What Yaplet Remembers

For each person and workspace, Yaplet keeps a small memory of what it showed you, what you did with it (opened, Not now, Don't tell me about this) and the quiet times that follow. It never contains chat text. The messages Yaplet writes into your chat list are kept with your thumbs and notes. Both are removed when the workspace or your account is deleted.
