You tried to invite someone and the button says Upgrade to add members instead of Add member. That means your seats are full. Here is exactly what fills them and how to make room.
What uses a seat
A seat is a slot for one person in your organisation. Two things take one:
- Every member, including you and including anyone you have disabled. Disabling somebody stops them signing in; it does not give the seat back.
- Every pending invitation. The seat is reserved the moment you send it, so you cannot stockpile more invitations than you have room for.
The free plan includes 1 seat — that is you, the owner. Paid plans come with more, and you can buy extra on top.
How to tell you are out
Open the team page from your avatar at the bottom-left of the dashboard → Manage team. There is no seat counter on the page; instead, when the last seat is gone the invite button changes to Upgrade to add members and hovering it explains why — either "The free plan includes a single seat. Upgrade to invite your team." or "All {n} seats are taken by members or pending invitations. Upgrade your plan or free up a seat."
Free up a seat
Expand the person's row on the team page and use one of the buttons at the bottom:
- Remove — takes them out of the organisation and gives the seat back. It also deletes their brand access, board access, shift types and permissions, so re-adding them later starts from nothing. Their past conversations stay in the inbox.
- Delete invitation — on a pending invitation in the Invitations list. This releases the reserved seat immediately.
You cannot remove the owner, and you cannot remove yourself. Disable is useful for a notice period or a long absence, but it is not a way to free a seat.
Buy more seats
Seats are sold as an add-on at Settings → Organization settings → Billing, in tiers — two seats, ten seats or unlimited — and you can add one at any time without changing your plan. The current prices are shown on that page. Only the organisation owner can open Billing — an administrator does not even see that menu row, so if you are not the owner, ask them to buy the seat tier for you.
